About the Role:

As a CBRE Business Services Coordinator, you will perform clerical duties according to department procedures.

This job is part of the Administrative Services job function. Responsible for providing administrative support to areas of the business including operations, teams, job functions, and senior management.

What You'll Do:

  • Communicate authoritatively with Technicians, Facilities Managers, department SMEs, and frontline support via phone, email, and instant messenger.
  • Answer raised inquiries or complaints from clients, co-workers, and/or supervisors and optimally present information to internal groups.
  • Review department knowledge base articles, processes, procedures, and other documents to acquire information to problem tackle and respond to requests.
  • Assist internal teammates with work order management. Examples include redirecting incorrectly submitted work orders, crafting new work orders, closing out work orders, reassigning work orders, adjusting work order priorities and problem codes, etc.
  • Handle intensified requests/inquiries from our frontline support, based on client-set issue criteria while having a limited opportunity to exercise discretion.
  • Analyze work orders by size, vitality, skills, location, complexity, and available personnel; and assist operations teams by issuing orders sequentially to individual technicians or work teams.
  • Maintain and update knowledge base content such as department processes and procedures in database systems after regularly scheduled reviews with department SMEs, and as needed, when new information or updates are provided
  • Provide statistical reporting to the management team and client showing quantities of evidence of the productive use of the workforce as requested.
  • Deliver output by following defined procedures and processes under close supervision and mentorship.

What You'll Need:

  • High School Diploma or equivalent experience or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Proven understanding of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong interpersonal skills with an inquisitive approach.
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence.
  • Ability to respond to inquiries or complaints from clients, co-workers, and/or supervisors.
  • Ability to effectively communicate information to an internal department and/or group of employees.
