Description


Purpose

To manage and coordinate of all aspects for a single properties or portfolio of commercial properties including operations, and as problem-solver regarding property/tenant issues for The Buncher Company owned property. 

 

Essential Duties and Responsibilities

  • Based on tenant received requests, prioritizes work orders and assigns maintenance and construction employees, or outside contractors as needed. Ensures tasks are completed in a timely manner and in compliance with policies, procedures, regulations and lease obligations and standards. Closes out tasks when completed.
  • Must have a working knowledge of Building Engines and the ability to troubleshoot any problems.
  • Obtain bids on special maintenance projects.
  • Coordinate vendor scheduling as well as communicate with vendors and contractors effectively.
  • Ensure that all vendors have adequate insurance coverage.
  • Performs routine property inspections of occupied and vacant properties to ensure cleanliness, security and overall appearance including parking lots and surrounding areas. Recommends repairs and/or maintenance as necessary.
  • On a regular basis meets and conducts on-site inspections with the janitorial contractor to ensure cleaning specs and expectations are maintained.
  • Meets with contractors as required to obtain action plans to eliminate issues. Coordinates these activities with the tenant.
  • Escorts contractors while entering occupied tenant space and coordinates activities. Provides the tenant with information as requested.
  • Manages and coordinates the activities of on-site security contractors.
  • Obtains quotes for snow removal, landscaping, and other related services as requested by the VP of Property Management. Completes purchase order process as necessary when ordering services and materials/supplies.
  • Provides 24/7 on call support during off hours and weekends as assigned.
  • Responds to all building and property emergencies, provides support to responding contractors and agencies. Prepares and provides report documentation for The Buncher Company.
  • Provides project management to building improvements.
  • Provides support to the maintenance and groundskeeping staff in the performance of their duties.
  • Builds relationships with tenants to assist them with their operations and needs, while adhering to the lease.
  • Reviews tenant Common Area Maintenance (CAM) Reconciliations.
  • Performs other duties as assigned.

 

Personnel Management

  • Maintains a good working environment for all employees.
  • Handles time management for maintenance employees including approving paid time off.
  • Responsible for accurate completion of timesheets, timesheet recaps and all employee forms for submission to Human Resources.
  • Ensures maintenance employee are completing their assigned duties according to their respective job description.
  • Follows the disciplinary procedures outlined in the employee handbook for maintenance employees.
  • Writes performance reviews for maintenance employees and participates in annual review sessions.

Working Conditions

  • Open environment with a combination of both indoor (average 60%) and outdoor climate (average 40%), depending on situation. Varied exposure to environmental conditions related to the outdoors, including changes in temperature and humidity. Frequently exposed to electrical current, noise, fumes, odors, dust, and dirt.  Exposed to moving objects and occasionally exposed to heights via ladders, scaffolds, lifts, and roofs. 
  • While primarily standing or walking, performs medium work, exerting up to 50 lbs. of force occasionally and/or up to 10 lbs. of force frequently to move objects. 
  • Frequent manual dexterity and coordination including handling, reaching, stooping, kneeling, crouching, crawling, turning, bending, and climbing ladders.
  • While working independently or part of a team, performs a variety of routine duties within established policies and procedures or by referral to the VP of Property Management guidance.
  • Related travel to all Buncher properties during the business day including off hours and weekends.
  • Vision includes acuity near and far, peripheral vision and depth perception during required inspections of property, as well as computer work. Frequent expression and exchange of accurate information and ideas with customers, vendors and employees through spoken word/oral communication and written communication (paper and electronic forms).
  • Use of senses also includes being able to detect and distinguish odors inside and around property.  Such odors include but are not limited to natural gas and musty smells that accompany dampness/mold/mildew.

 

Qualifications

  • Bachelor's degree (BA/BS) from four-year college or university and a minimum of four to six years of related experience and/or training.
  • CPM or RPA professional designation or candidacy preferred.
  • Valid driver’s license with good-standing driving record.
  • Knowledge of building maintenance, to include plumbing, electrical, HVAC and Life Safety systems.  Working knowledge of local building and fire codes.
  • Ability to multi-task in fast-paced, quality-results-driven environment.
  • Ability to read and interpret detailed prints, sketches, layouts, specifications.   Able to learn from written passages by discerning the main idea or key facts.
  • Ability to understand and carry out basic verbal and written correspondence, instructions, rules, policies, graphs, and charts.
  • Requires knowledge of financial terms and principles. Ability to calculate intermediate arithmetic (addition, subtraction, multiplication, division), perform basic and use basic numerical concepts (whole numbers, percentages) to complete job tasks.  Able to understand financial terms, principles and reporting and analysis.
  • Intermediate to advanced skills with Microsoft Office Suite
