Proactive and strategic operations lead focused on supporting the team in various ways to maximize the potential of our business and hit target KPIs.

JOB SUMMARY

Manages the work of administrative and other support staff to provide complex business support to assigned group of senior business leaders. Supervises administrative, process improvement and financial functions. Ensures adherence to quality standards, service levels and project deadlines. Works under limited supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Acts as liaison with business leaders, department managers and other internal and external clients to forecast workload demand and project deliverables.
  • Business development and account management oversight. Database management of existing clients and prospects.
  • Client marketing and retention including events planning and vendor management, sponsorship management and gift planning.
  • Strategy consultation and execution including pitch deck and messaging preparation, participation in prospect presentations, oversight of external marketing materials including case study video production, realty ads management, bio/resume drafting, email campaigns, team awards.
  • Manages, plans, coordinates, schedules and oversees meetings, the workload, deadlines and day-to-day activities of the support team members to ensure effective delivery of services. Works with business leaders to resolve conflicting priorities.
  • Maximizes team's productivity, improves efficiencies and manages costs through review, analysis and implementation of streamlined, effective administrative and support processes. Communicates with stakeholders to ensure processes are responsive to evolving business needs.
  • Manages the department/business unit record keeping system ensuring department/business unit files are maintained in accordance with company policies and procedures; reviews requests for information and determines the appropriateness of release.
  • Arranges for or may assist in providing administrative support for file and record maintenance, answering and directing calls, scheduling and preparing for client meetings and travel coordination.
  • Performs other duties as assigned.


SUPERVISORY RESPONSIBILITIES

Provides formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

QUALIFICATIONS

  • Bachelor's degree, preferred. High school diploma or GED required,
  • A minimum of 5 years related work experience or equivalent combination of education and experience.
  • Prior supervisory experience, preferred.
  • Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information. Ability to respond effectively to sensitive issues.
  • Requires advanced knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts advanced financial analysis.
  • Ability to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills.
  • Focus on project planning and execution within time and budget constraints. Adept at problem solving and decision making.
  • Advanced skills with Microsoft Office software (Excel, Word, PowerPoint and Outlook).
