The Property Manager has responsibility for day-to-day management activities/functions (on single or multiple properties), including but not limited to: property maintenance, tenant relations, property budgets, leasing/re-leasing, collections, reporting, tenant improvement activities, property appearance and condition, and providing (or directing) on-site or general leasing activities.

 

Responsibilities:

Lease Administration Set up new / amended leases in YARDI; resolve questions regarding lease interpretation; enforce lease provisions and tenant conduct in relation to same including tenant insurance and R&M provisions

 

Expense billing and reconciliations prepare expense billings for all tenants for each calendar year, and for new tenants; prepare year end expense reconciliations; resolve questions

 

Repair and Maintenance Respond to tenant service calls, dispatch vendors as needed. Supervise vendor performance and completion of work. Resolve questions over landlord / tenant responsibility. Regularly inspect buildings, determine maintenance needs, schedule vendors accordingly. Select, manage and direct service contract vendors, determine scope and frequency of contract activities like landscaping and sweeping in coordination with portfolio manager. Control vendor access to tenant suites and roofs, schedule vendor work to minimize or avoid tenant disruption. Manage common area utility usage.

 

Budgeting prepare recovery revenue and operating expense budgets for properties

 

Real Estate Taxes first point of contact with property tax consultants to provide information for appeals

 

Tenant relations manage and direct tenant relationship events such as ice cream socials, Christmas cookies, and welcome gifts; maintain regular contact with tenants and promptly address all concerns and questions. Inform tenants, and manage action, of temporary relocations of parking, ingress, egress, etc. to accommodate repair, maintenance and construction activities; resolve issues between neighboring tenants including managing common area usage; inform tenants of any other pertinent news and information.

 

Suite turnover and vacancies deliver suites to new tenants, inspect suites on move-out and implement or direct repairs if needed; process security deposit refunds; re-key suites as needed, coordinate utility changeover tenants, ensure proper operation and maintenance of vacant suite systems and control utility usage.

 

Marketing coordinate tenant broker events with Regional Manager, ensure vacant suites are clean and in good working order and kept locked, are supplied with lockboxes and keys, and appropriate marketing materials. Coordinate preparation of marketing materials like flyers and easel boards with brokers and portfolio manager. Maintain up-to-date tenant signage, monument and panel signs, and Meritex signs.

 

Leasing Assist brokers in scheduling and showing of spaces and preparation of proposals, assist regional manager in preparation of leases and provision of information to prospects and brokers

 

Emergency Preparedness prepare and maintain emergency response plans and implement as needed; inform tenants of plans and conduct any necessary drills. Maintain keys to all suites.

 

Tenant and Property Construction / Capital Projects coordinate scope of work between parties, solicit bids, prepare CAPEX requests, select vendors and supervise projects to ensure completion on-time and within budget. Assist third-party construction managers if scope warrants such.

 

Accounts Payable / Receivable Code and process invoices for payment utilizing Yardi Full Service; first point of tenant contact for A/R collections.

 

Property Tours & Inspections coordinate tours / inspections with fire marshal and other government officials and also with lenders, equity partners, insurance companies and other third-parties, providing escort as needed.

 

Education/Skills/Experience/Qualities:

  • College graduate
  • Minimum 7 years commercial property management experience, preferably industrial construction management experience a plus.
  • Strong attention to detail and ability to follow a project through to completion.
  • Strong problem-solving skills proactively addresses issues.
  • Ability to successfully establish and maintain relationships internal and external working relationships. Team Player and Customer Focused.
  • Excellent communication skills and good negotiator.
  • Strong numerical skills and computer proficiency
  • Willingness to perform administrative tasks in addition to regular management responsibilities.
  • Initial reporting to Atlanta Regional Manager; demonstrate aptitude for future growth to city market leader reporting to COO.
