Description


  Description: Well established NYC based real estate owner and developer has an immediate need for a Project Coordinator. This role will provide administrative and project management support to the Construction and Development teams and will be based in our New York City Office. Responsibilities:
  • Manage digital project folders for all construction and development project documentation
  • Prepare contracts, purchase orders, exhibits, templates, correspondence, reports, and other documentation as needed
  • Confirm that insurance requirements of all contractors and vendors are current and certificates are on file
  • Support Project Management in coordinating and tracking all required permit documents for development projects
  • Support Project Management in creating and maintaining punch list reporting and close out tracking logs
  • Create, populate, and maintain cost tracking sheets for development projects
  • Review invoices to ensure consistency with contract terms
  • Track and code all invoices for submission to accounting
  • Follow up with vendors for timely submission of invoices and provide updates to vendors on payment status
  • Enter all Owner s Hard Cost and Soft Cost contracts into accounting software to properly track payments and retainage
  • Support Project Management in verifying the completeness and accuracy of contractor AIA pay applications and backup such as lien waivers
  • Assist Project Management and Development departments in tracking progress on construction jobs
  • Sort, photocopy, and file documents
  • Attend group meetings, prepare minutes as needed and follow-up task tracking
  • Proactively create and update organizational systems to benefit the team and department
  • Assist with special projects and administrative and organizational tasks as needed.
The ideal candidate should have the following qualifications:
  • Bachelor s degree required
  • 1 to 3 years work experience in a construction, development, investment or real estate related field
  • Construction experience and familiarity with construction drawings is a plus
  • Construction Accounting experience is a plus
  • Excellent attention to detail
  • Strong organizational and time-management skills
  • Intuitive and strong independent working skills
  • Strong verbal and written communication skills
  • Thrives in a fast-paced, team-oriented environment
  • Familiar with standard programs, including Microsoft Excel and Word and Adobe Acrobat
  • Familiar with Blue Beam PDF software is a plus
  • Familiar with Yardi accounting software is a plus
