Summary:

 

The Commercial Leasing Manager (“Manager”) will support the EVP of Real Estate in the leasing and asset management of nearly 300,000 sf of commercial space located at 6 properties in several different countries. The individual is responsible for the management of the leasing administration software system, preparation of leases and monthly billings, document management, reporting, coordination and monitoring of the marketing of available space, tenant surveys, and tenant insurance compliance.

 

Essential Duties and Responsibilities include the following (other duties may be assigned):

 

  • Prepare commercial leases and lease renewals and coordinate internal review and approval
  • Coordinate, monitor and control the movement, filing and archiving of all commercial leases for controlled properties, with the objective of ensuring compliance to company procedures.
  • Coordinate with property managers to enforce the terms of the leases, and also ensure adherence to corporate protocols and standard terms, as well as property budgets.
  • Ensure the proper handling of commercial tenant correspondence.
  • Coordinate with the accounting department to maintain an accurate accounting and record of tenant security deposits
  • Track lease expirations and renewals
  • Ensure tenant compliance with insurance requirements as outlined in tenant leases.
  • Maintain the leasing software program, and perform data entry to ensure rent rolls and tenant information is up to date
  • Research lease issues and communicates with the property managers and other departments regarding leasing status and general questions.
  • Coordinate with accounting department and property administrators to prepare monthly tenant invoices and apply charges and payments in leasing software program
  • Prepare and disseminate monthly financial and occupancy reports, with the ability to note and analyze trends, variances, and key metrics.
  • Administer annual Tenant Customer Satisfaction Surveys for each property.
  • Maintain a library of current commercial leasing templates.
  • Coordinate with marketing department and property General Managers to prepare and distribute leasing advertisement flyers to local leasing agents on a quarterly basis, and other marketing initiatives as necessary.
  • Coordinate with corporate staff and property managers in the development of annual leasing forecasts and budgets.
  • Prepare quarterly corporate leasing forecasts and analysis
  • Other duties as may be assigned from time to time by the Executive Vice President of Real Estate Services.

 

Qualifications:

  • Must possess at least 5 years of experience in commercial real estate lease administration environment
  • Ability to handle a large volume of information while maintaining excellent organization
  • Knowledge of real estate and lease administration principles and processes
  • Previous experience with a lease administration software system
  • Strong verbal and written communication skills
  • Excellent customer service skills
  • Strong attention to detail
  • Ability to multi-task and work in a fast paced environment

 

 

Education/Experience:

 

5 years commercial real estate leasing experience or Certified Real Estate Paralegal.

 

Bachelor’s Degree is a plus

 

Computer Skills:

 

Proficiency with Rent Manager or experience with a similar lease administration software suite.

 

Proficiency in all Microsoft applications, with specific aptitude in Excel. Experience in various database applications  as required.
