Savills is seeking a Contracts Administrator in our Dallas, Texas office who will report to the Director of Operations.
 
KEY DUTIES AND RESPONSIBILTIES

  • Review leases / lease contract language and associated lease docs (including SNDA’s, CDA’s, Estoppels, etc.) per client guidelines
  • Assist in preparing comments on leases / lease contracts to facilitate moving contracts forward in negotiations to final contracts
  • Support contracts manager in the preparation of final documents for execution
  • Support real estate manager with ad hoc requests related to real estate portfolio
  • Maintain weekly Savills tracking sheet to take notes and distribute after calls
  • Participate in weekly lease update call with client and Savills as well as other client vendors
  • Provide back-up for firmwide apartment leasing (employee apartments)
  • Coordinate with regional facility coordinators on issues requiring legal interpretation or review
  • Abstract executive suite leases and provide information to Savills Lease Admin team for further integration into lease database
  • Field basic leasing questions when real estate manager and contracts manager are unavailable
  • Invoice tenants for monthly rent (2 subleases and one tenant in owned building)
  • Enroll new locations in insurance program as well as produce on demand certificates when required plus field questions on certificates when annual renewal notices are sent to landlords

QUALIFICATIONS

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  • Proficient with lease administration databases (ProLease, APEX, CoStar Real Estate Manager, Visual Lease, etc.)
  • Internet navigational skills
  • Strong organizational skills with ability to prioritize projects to meet Client deadlines
  • Ability to multi-task and meet deadlines
  • Work well individually and in a collaborative team environment
  • Willingness to help others as needed

PREFERRED EDUCATION AND EXPERIENCE

  • At least 5 years work experience in a real estate contract negotiations or related work position.
  • Bachelor’s degree or higher and paralegal or equivalent is preferred.
