LivCor, a Blackstone portfolio company, is a real estate asset management business specializing in multi-family housing. We are looking for an experienced executive assistant to support three senior leaders – the Head of Legal, Head of Communications, and Head of Strategy & Planning. Executive Assistant…what does that even mean? Assisting executives? To us, that barely begins to describe what EAs do. We think of this role as a force multiplier – a real-life superhero and central to helping our teams win.  

 

Our teams support LivCor’s growth and help enable all the other teams further our mission to leave people and places better than when we found them. The three leaders and teams you would support are all unique (in a good way), so you’ll be comfortable switching between different styles/preferences.  

 

The usual stuff you will cover includes things like proactive calendar management, scheduling, organizing travel, and supporting with expenses. In a dream world, you’re also curious, creative, and fun. We’d love to have you bring these traits and help with special projects, research, and culture building.

What you will do: 

  • Help organize three senior leaders’ time by managing calendars and scheduling appointments. 
  • Work closely and effectively with senior leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the leaders, including those of a sensitive or confidential nature. 
  • Prioritize conflicting needs; handle all matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures. 
  • Assist in the preparation of packages and requests for information. 
  • Create and maintain files, databases and spreadsheets. 
  • Coordinate travel arrangements, compile documents for travel related meetings and prepare travel/expense reports.  
  • Process invoices for payment. 
  • Prepares agendas, notices and minutes for meetings. 
  • Handle all aspects of event planning for team meetings, dinners, and social events.

 

What you should have: 

  • Administrative experience, including a track record of supporting senior leaders. 
  • College-level experience preferred but not required. 
  • Exceptional organizational skills including the ability to juggle multiple balls/files/people/tasks/dogs. We just need you to be ahead of the curve and nimble. 
  • World-class follow up skills that inspire confidence that balls will not be dropped. 
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior management, external parties. AKA no jerks please. 
  • Strong written and verbal communication skills. 
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability. 
  • Highly resourceful team-player, with the ability to also be extremely effective independently. 
  • Proven ability to handle confidential information with discretion and be adaptable to various competing priorities. 
  • Eagerness to work in a fast-pace, high-growth environment. 
  • Forward looking thinker, who actively seeks opportunities and proposes solutions. 
  • Thorough knowledge of Microsoft applications and other general office equipment is required. Asana experience would be helpful. 
  • It’s a real plus if you’re funny.
