YOUR POSITION WITH TNC

 

The Real Estate Transaction Coordinator will contribute to a wide range of activities for a broader team that includes Trade Lands Dispositions, Business Operations, and Trade Lands Finance and Information Systems within the Worldwide Office Finance Business Unit.

 

The Real Estate Transaction Coordinator provides a broad range of resources, primarily contributing to the Trade Land Dispositions team with a smaller percentage of time dedicated to providing program and administration support to the Director of Business Operations. They will provide back-up support to the Trade Lands Finance and Information Manager.  The Coordinator will manage multiple specific functional activities, including team optimization of technology, management of digital and IRS require paper filing systems, and cradle-to-grave project coordination and information tracking intra and inter-team. The Coordinator reports directly to the Senior Dispositions Manager.

 

ESSENTIAL FUNCTIONS

 

The Real Estate Transaction Coordinator will work towards meeting the strategic priorities of the team by organizing and completing multiple tasks and activities. They will provide direct support and assistance to the Director of Business Operations and two (2) Dispositions Managers. They will have sole responsibility for the presence of the Team on TNC’s intranet site. The Coordinator should have or should be able to quickly develop advanced knowledge of the systems and resources utilized by the team to provide programmatic support and coordinate communications related to the resources. They will complete activities with multiple variables, setting realistic deadlines and managing timelines. They will maintain, track, and report on key data related to the scope and priorities of the functional activity. They will provide guidance in satisfying requirements based on in-depth knowledge of policies and procedures. They will adapt processes and implement recommended practices to improve effectiveness. The Coordinator will take on additional duties to enhance the work of the team, including, but not limited to, developing documentation, providing recommendations and targeted training related to the functional area of the team, and/or enhancing the systems and tools used by the team. They may coordinate logistics for organizational wide meetings and/or special events. They will create program materials and perform analysis and research related to program activities. They will coordinate with stakeholders for program success and may serve as the lead liaison with partners or vendors. The Coordinator will communicate with staff in various programs across the Conservancy, as well as volunteers, vendors, and business relations. They will keep up to date on market trends and best practices in order to improve services. They will be responsible for all aspects related to insurance for all properties in the trade land portfolio. Additionally, They will provide back-up support to the Finance & Information Manager by claiming and registering journal entries to record non-sales and sales wires, filling out FARs when required, entering journal entries, and performing a variety of data entry related to the acquisitions and dispositions of trade lands in the real estate module of Insight known as Fixed Assets.

 

RESPONSIBILITIES & SCOPE

 

  • Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.
  • Demonstrate sensitivity in handling confidential information.
  • May be responsible for the work of peers on departmental project teams.
  • Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements; Decisions may bind the organization financially or legally.
  • Financial responsibility includes purchasing, processing invoices and transfers, and negotiating and contracting with vendors, and participating in budget preparation.
  • Manage projects with several variables - set realistic deadlines, manage a timeline, and ensure accountability.
  • May participate in complex negotiations.
  • Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs.
  • Travel and work flexible hours, as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
  • Work within scope of program’s strategic goals.

 

MINIMUM QUALIFICATIONS

 

  • Bachelor’s degree and 3 years related experience or equivalent combination.
  • Experience generating reports and analyzing and interpreting the data.
  • Experience managing and implementing multiple projects.
  • Experience with business process analysis and/or improvement.
  • Experience with current technology in relevant field.
  • Experience working with cross-functional teams.

 

DESIRED QUALIFICATIONS

 

  • Bachelor’s degree in real estate or paralegal or legal assistant studies or 4 years of combined legal and administrative experience OR equivalent qualifications acquired through related job experience preferred.
  • Demonstrated experience with real estate transactions or facility management.
  • Real Estate License.
  • Demonstrated experience implementing multiple complex processes.
  • Experience with and ability to use existing technology to achieve desired results.
  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
  • Demonstrated experience coordinating projects.
  • Demonstrated experience interpreting and correctly applying guidelines to achieve desired results.
  • Knowledge of current trends in the real estate field.
  • Strong organization skills, attention to detail and ability to manage multiple diverse tasks and meet deadlines.
  • Experience in business and legal writing, editing, and proofreading.
  • Experience with business process analysis and/or improvement.
  • Experience analyzing and interpreting data for the purpose of preparing reports, coordinating activities, and solving problems.
  • Advanced database skills, including entering, managing, and tracking data.
  • Advanced experience in Adobe Pro DC, MS Office, Word, Power Point, and Excel.
  • Experience with Office 360 Suite as well as MS Teams and Box or similar internal communications systems and cloud file management systems.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
