POSITION: Property Controller
REPORTS TO: Senior Director, Property Accounting
BASIC FUNCTION: Responsible for providing accurate and timely financial information on a portfolio of commercial properties to enable Property Managers and Owners to make sound operational and financial decisions.
MAJOR DUTIES AND RESPONSIBILITIES:
- Conduct a monthly review and analysis of the balance sheets, income statements and cash flow reports on portfolio of properties.
- Prepare variance analysis reports for each property in portfolio by the 20th of the month following end of each quarter.
- Prepare annual work papers, detailing account balances in accordance with sound accounting practices.
- Provide necessary schedules from work papers to tax firm to assist in the tax return preparation. Answers questions as needed.
- In conjunction with Asset Managers and Property Managers, prepares annual budgets for all properties in portfolio. Complete budgets according to the corporate budget calendar.
- Annually review CAM, Real Estate Tax, and Insurance billings in a timely manner to facilitate billings per lease requirements and prepares “what if” analysis as required.
- Review cash accounts and intercompany accounts routinely and supplies information regarding funding and cash needs to Owners. Ensure cash is available for operational needs.
- Initiate distributions in accordance with Partnership Agreements, as required.
- Provide support to Property Managers, Asset Managers and Owners in analyzing financial information.
- Record new loans and refinances, supplies lenders with financial statements as required, reviews debt service ratios and analyze escrow balances and submit appropriate paperwork for reimbursement.
- Maintain cash and accrual books.
- Review, approve and ensure timely payment of mortgages and real estate taxes.
- Prepare documentation for lender in order to be reimbursed from escrows, as needed.
- Review and prepare monthly reporting packages to outside owners.
- Review invoices for proper coding.
- Maintain fixed asset system for deferred assets.
- Maintain a tracking system for the payment of annual and semi-annual real estate taxes.
- Performs other job-related duties as assigned or required.
