EastBanc, Inc., a Washington, DC-based development and property management firm, is seeking a Property Manager to perform a variety of functions within the Property Management Team. EastBanc specializes in the development, construction and property management of luxury residential, retail, and mixed-use projects. In alignment with corporate goals, specific responsibilities will include (but not be limited to) the following:

 

Summary:

This position performs a variety of complex management functions under the direction of the Director of Property Management. Duties include, but are not limited to, oversight of day-to-day property operations, budget development, adherence to budget, maintaining property operations and services consistent with a Class A property, supervising direct reports and contract personnel, managing performance of outside vendors, interfacing with the tenant on all issues and concerns, and, coordinating emergency response plans and efforts.

 

Responsibilities:

  • Manage all on-site personnel, including conducting performance reviews, and assisting employees in establishing goals and priorities.
  • Direct contract staff, and manage contracted services for the parking garage, janitorial, and security services.
  • Prepare service contracts for vendor services, ensuring compliance with company contracting and insurance requirements.
  • Review service contracts annually, updating scopes of work and/or periodically securing competitive bids from other vendors to ensure value for services performed.
  • Conduct quality assurance reviews of work order system weekly, following up with tenant on selected service calls to evaluate the tenant’s level of satisfaction with the work performed and to ensure that the problem is thoroughly resolved.
  • Review and approve invoices on a regular schedule, in accordance with the Accounting Department schedule.
  • Review and edit financial reports, preparing a detailed variance report, submitting all required reports to the lender in a timely manner.
  • Craft annual operating budget and capital improvement plan, working with Chief Engineer to hone the operational expenses, and incorporating input from the Accounting Department. 
  • Review annual expense reconciliation with the Accounting Department and present to tenant.
  • Tracks use of and prepares bills for overtime HVAC services.
  • Reviews tenant monthly payments to ensure timely remittance of bills.
  • Conduct regular building inspections, generating work orders and/or contracting repairs as needed.
  • Work closely with tenant security managers to jointly oversee the contracted security services, which cover both base building operations and tenant concerns.
  • Coordinate tenant renovation activities, ensuring all permits and documentation are submitted, including updated floor plans and any updates to building system records.
  • Maintain emergency procedures manual, and drill on emergency evacuation procedures at least once annually.
  • Respond to building emergencies to coordinate resources and provide appropriate guidance in securing the emergency and implementing corrective and preventive actions.
  • Manage property insurance program and insurance compliance programs.
  • Seek to improve energy efficiency and reduce overall energy consumption through the implementation of new technologies and products.
  • Provides on-call support for after hour issues that may arise within the facility. The position is considered part of the essential personnel to the asset.
  • Demonstrate and maintain Outstanding Customer Service in all areas of responsibility including those of subordinates.

 

Requirements and Qualifications:

 

      • Bachelor’s degree or equivalent.
      • A minimum of 5 - 7 years’ experience in the commercial facilities/property management environment.
      • Working knowledge of building systems
      • Strong customer service, interpersonal and supervisory skills
      • Ability to work in high-pressure atmosphere
      • Strong organization skills
      • High degree of initiative, self-direction.
      • Excellent written and oral communication skills.
      • Demonstrated knowledge of MS Word, Excel, and Outlook.
