Job Summary
Newmark Knight Frank is seeking an Executive Assistant to support a Senior Executive in the New York headquarters office. Applicant will manage business-related tasks for the principal, including team support, communication/marketing and other projects. The ideal candidate is self-motivated, professional, and capable of prioritizing a daily work load in a high-energy environment.
Main Responsibilities
- All general administrative functions, including answering telephones, responding to calls/emails and managing lists/files
- Coordinate complex and constant-changing meeting/call schedule and preparation of necessary materials
- Help prepare for office visitors and meetings
- Manage detailed travel arrangements
- Maintain organized filing system and databases; utilization of team CRM and knowledge of team deal flow and deal status
- Plan and execute client dinners and events; including development of guest lists and program, venue arrangements, and on-site execution
- Prepare detailed business expense reports and liaise with Accounting and Finance Departments
- Occasional personal assistance for principal
- Other duties as assigned
Qualifications
- Professional level of writing and communication skills; ability to interface with all levels of management, including C-suite, supervisors, colleagues, and clients
- Complete complex projects under tight deadlines, ensuring that work is consistent, efficient and accurate
- Superior organizational and time management skills; ability to multi-task and manage multiple projects simultaneously
- Ability to be proactive, anticipate and accomplish tasks with minimal direction and oversight
- High level of critical thinking, attention to detail and creative problem-solving skills
- Self-starter with sound judgment, high motivation and dependable work ethic
- Discretion with highly confidential personal and professional information
- Experience in commercial real estate is preferred
Education
- Bachelor’s Degree required.
Computer Skills
- Proficiency in Outlook, Word, Excel, and PowerPoint
